Advice on Completing Event Audits

Consistent with previous years, event dates are only confirmed upon production to the regional Safety Adviser (RWSA) of a satisfactory safety plan and risk assessment for the event. Your event date published is only provisional and the event will not be sanctioned to take place unless the Region is satisfied that it has done a risk assessment, safety audit and plan.

Events audit forms are available to down load from the Safety section of the ARA website or from the main Safety page on this website.

Note ONLY events that have been notified by the RWSA that they are eligible for Self Assessment can do so. Notifiaction will happen at least two months before the planned date of the race

A copy of the Self Assessment Form will be sent from the RWSA on request. Should the event not have been confirmed for Self Assessment, the information (risk assessment, safety audit and plan) relating to the event ,for the 2008 season, should reach the RWSA at least a month before the planned date of the race.

All Self Assessed events should still send the required documentation for reference, including the Self Assessment form signed by the OC representatives and WSA.

To help race organisers do this, listed below is some guidance on what is likely to be needed.

  1. Download the EVENT audit form from the ARA or TRRC websites and fill it in electronically
  2. Carry out a risk assessment, along the lines shown in the ARA Water Safety Code Section 2.7.3 or an alternative that can be quantitative.
  3. Provide a map in accordance with Racing Rule 2.2.3.
  4. 2-2-3 Safety Information and Circulation Patterns

The Organising Committee in consultation with the Chairman of the Race Committee and the Safety Adviser shall develop and publish to all competing clubs and to all officials, detailed diagrams and instructions covering:

    • The circulation pattern to be followed at all times during the period of racing and during practice sessions on or in the neighbourhood of the course
    • Any special points of danger on or near the course
    • Safety boat and first aid positions and how to summon help
    • Medical support arrangements
    • Location of emergency telephones
  5. Marshalling instructions
  6. When and where crews may practise, warm up and cool down on the water

These instructions may be conveniently distributed to competitors with the draw or with any other instructions. One copy must be supplied to each competing crew.

  7. Provide copies of all instructions to marshals and competitors.

This should all be provided electronically please. If this is not possible, please try to scan it and send it. Only in extremis send it hard copy!
